What is an OST File? How to open an OST File?

An OST (.ost) file short for Offline Storage Table is an offline folder file format created by Microsoft Outlook to support offline productivity and seamless synchronization with server based email environments. It functions as a local, synchronized replica of an user’s mailbox data stored on an email server, allowing users to read, draft, flag, and delete emails, manage calendar events, and update contacts even when no active internet connection is available.

Key Characteristics

1.OST is a proprietary binary database file developed by Microsoft. It uses a structured hierarchy of nodes, tables, and blocks to store complex Messaging Application Programming Interface  MAPI objects natively.

2.An OST file is uniquely encrypted and tied to a specific combination of the local Windows user account, the computer hardware, and the mail server mailbox configuration. Because of this local MAPI encryption key, an OST file cannot be directly copied and opened on a different computer or under a different Outlook profile.

3.When an active internet connection is re-established, Microsoft Outlook initiates a background bi-directional synchronization process. Any local changes made while offline are pushed to the server, and any new items on the server are fetched and cached into the local .ost file.

File Architecture

1.Header Block contains overall database health statistics, file size limits, index pointers, and unique GUIDs (Globally Unique Identifiers) connecting the file to the specific Exchange or Office 365 account.

2.Node Data Structure are email folders like Inbox, Sent Items, Drafts, Trash and items like messages, appointments, contacts are stored as distinct nodes inside a B tree index structure. This allows Outlook to instantly locate specific items without parsing the entire file linearly.

3.MAPI Property Storage are every email attribute such as custom Outlook flags, follow-up reminders, categories, voting buttons, and read/unread states that are preserved in native MAPI properties.

4.Local Changes Table tracks offline actions performed by the user (e.g., deleting an email or moving a draft) so Outlook knows precisely what updates to send to the server upon reconnection.

Advantages of the OST Format

1.Users can compose replies, organize folders, and update schedules during travel or network outages without losing work.

2.Reading email data from a local high-speed SSD/HDD cache is significantly faster than querying a remote cloud server for every single interaction.

3.OST file is merely a local reflection of the server, losing a laptop or suffering disk failure does not result in permanent data loss logging into Outlook on a new device simply rebuilds the file from the cloud server.

4.Outlook retrieves data in chunks and syncs only deltas, minimizing network usage.

Disadvantages

1.You cannot plug an OST file into a USB drive, take it to another computer, and select "Open" inside Outlook. It must be accessed by the original profile or converted using third-party tools.

2.Abrupt system shutdowns, sudden network disconnects during synchronization, software crashes, or large file sizes (nearing 50 GB) can corrupt the internal index nodes of an OST file.

How to open an OST File?

1.Open Microsoft Outlook

2.Verify Account

3.Outlook automatically reads the local .ost file and displays all your emails, calendars, and contacts in the left navigation pane.
