Plugin Subscriptions in a Website Quote: Who Pays at Renewal?

Plugin subscriptions can be paid directly by the business, charged through an agency, or covered for an agreed period by a support fee. A website quote should say which arrangement applies and who handles the next renewal.

“Premium tools included” leaves that question open. It might mean the first year is paid, that certain tools remain covered during a support agreement, or that setup is included while the business pays the supplier.

Clarify the arrangement before approving the quote. The next bill should have an agreed destination and a person responsible for the decision.

List plugin subscriptions before launch

Start with the services the website needs. Depending on the project, these might include a page builder, booking tool, form service, store app or another paid extension.

Ask for the supplier name and the plan being proposed. A label such as “booking system” is too broad to check against a renewal notice.

For each service, establish:

  • What website function it supports.
  • Whether the cost is one-time, recurring or based on usage.
  • What period the quoted price covers.
  • Who will pay the supplier after that period.

Keep the cost of setting up a tool visible alongside its subscription cost. Both may be relevant to the website budget, but they pay for different things.

Separate account access, payment and approval

Several people can be involved in the same subscription.

The account holder controls the subscription account and its settings. Record whether this is a business account or an agency-managed arrangement.

The payer pays the supplier or receives an agency invoice covering the service.

The decision owner approves renewal, a plan change or cancellation before the relevant deadline.

These roles can belong to the same person. They can also be shared between the business and its agency. Write down the arrangement so that an email arriving in one inbox is enough to start the right conversation.

Access to the website editor alone does not explain who controls a separate supplier account.

Ask what “included” covers

Here are three possible arrangements to discuss. They are examples of how a quote might be structured.

The business pays directly. The subscription is managed through an account controlled by the business. The agency’s quote explains which setup and configuration work it provides. Supplier renewals are paid separately by the business.

The agency invoices renewals separately. The quote identifies the services billed this way, how renewal approval works and whether any handling fee is added. The business can see what it is being asked to approve before the charge is due.

Named services are covered by ongoing support. The agreement lists the tools and plans covered by the support fee. It also explains the period of coverage and what happens when support ends.

If the arrangement uses an agency licence covering several websites, check the supplier’s terms before assuming that the licence can be transferred to an individual business account.

Keep a renewal register

Use the following fields for each paid service. This is a template to complete from the actual account, quote and supplier terms.

FieldWhat to record
Service and purposeSupplier, plan name and the website function it supports
Subscription accountWho controls the account and who can manage billing
PayerBusiness pays directly, agency invoices separately, or named coverage within support
Next chargeConfirmed date, billing period, currency and expected renewal amount
Decision deadlineWhen a renewal or cancellation decision must be made under the supplier’s terms
Reminder contactMonitored email address and the person responsible for reviewing the notice
Effect of non-renewalWhat the supplier confirms will happen to features, updates, support and stored data
End of agency supportAny new licence, account change or handover work that would be required

If the renewal amount is not yet known, mark it for confirmation and name the person who will check it. An introductory price should not quietly become the assumed cost for every future period.

For a trial, record when the paid period starts and what approval is needed before it does.

Check the supplier’s billing cycle

The website launch date, the agency invoice date and the supplier’s renewal date can be different.

Shopify’s official guidance on app charges provides a useful example. App subscriptions can have a billing cycle separate from the Shopify plan. Uninstalling an app can leave an already-generated charge on the next bill. Apps billed outside Shopify require cancellation directly with the supplier.

For the services in your own quote, use their current billing settings and terms to confirm the next charge and the required action.

Include any usage-based element in the review. A fixed subscription fee may be only part of the bill if the selected plan also charges for usage.

Agree what happens when support ends

A support agreement may end before a supplier subscription does. Discuss that point while the accounts and licences are being arranged.

Ask whether the business will need to buy its own plan, whether the existing setup can be retained and whether any account change is permitted by the supplier.

Also confirm what happens if a subscription is not renewed. Which functions remain available? What access to stored information continues? Is an export needed before the end date?

Record the answers for the specific service. This gives the business a basis for deciding whether to renew, replace or retire it.

When planning website development with Salestudia, bring the recurring-service list along with the page structure and feature brief. Salestudia is an independent agency in Idstein, Germany, working with businesses in the German market. The list gives both sides a concrete way to discuss ongoing supplier costs.

Before accepting the quote, choose one paid tool from the proposed website and follow its next renewal through the register. You should be able to identify the payer, the approval contact, the date and the consequence of choosing not to renew.
