Personnel Administration (PA) is a core sub-module of SAP HCM (Human Capital Management) that manages employee master data and the entire employee lifecycle within an organization.It  is a sub-module of SAP HCM that handles all employee-related information within an organization. It serves as the central repository for employee master data, maintaining details about personal information, organizational assignments, payroll-relevant data, and employment history. PA tracks the entire employee lifecycle, from recruitment and hiring to transfers, promotions, leaves, and termination.

What PA Does in SAP HCM:

Personnel Administration acts as a central employee database, ensuring that employee information is accurate, structured, and consistent across SAP modules.

Key Functions of Personnel Administration (PA):

1. Employee Master Data Management:

PA stores employee data using infotypes, such as:

  • Personal details (name, date of birth, gender)
  • Organizational data (position, department)
  • Address and contact information
  • Bank details
  • Basic pay
  • Tax and social insurance data

2. Employee Lifecycle Management:

PA tracks all employee events, including:

  • Hiring
  • Transfers
  • Promotions
  • Salary changes
  • Leave of absence
  • Termination or retirement

Each change is time-dependent, allowing SAP to maintain historical records.

3. Integration with Other SAP Modules:

PA integrates tightly with:

  • Organizational Management (OM) – positions, jobs, reporting structure
  • Time Management (TM) – attendance and absences

  • Benefits Administration
  • Finance (FI/CO) – cost centers and postings

4. Infotype Concept:

Data in PA is stored in infotypes, which are:

  • Logical groupings of related employee information
  • Identified by four-digit numbers (e.g., IT0002 – Personal Data)
  • Time-dependent (validity periods)

5. Data Consistency & Control:

PA ensures:

  • Data validation through authorization checks
  • Legal and statutory compliance
  • Accurate payroll and reporting outputs

Example:

When an employee is hired:

  1. PA creates employee master data (infotypes)
  2. OM assigns the position
  3. Payroll uses PA data for salary calculation
  4. FI receives cost postings
